Please find below terms and conditions a passenger acknowledges and accepts when booking with Golf Explorer Pty Ltd. ABN 35 126 822 875. Bookings are accepted via Registered Travel Agents or direct from consumers.

This website provides information on the basis that in many cases it is supplied by a third party and while every endeavour is made to ensure details are correct we reserve the right to make changes as and when information comes to hand.


Booking Conditions

  • A Deposit is payable before a booking can be being confirmed
  • Final Balance is due between 10 weeks prior to departure if booked outside this period
  • Final Balance is due within 72 hours for bookings made between 28 – 69 days prior to departure
  • Final Balance is due within 24 hours for bookings made under 28 days prior to departure

  • Direct Debit into our Bank Account. Details will be shown on your invoice
  • Credit Card (Cards accepted are Visa and Mastercard - a 1.5% surcharge may apply)
  • Cheque made payable to Golf Explorer and posted to PO Box 775, Glenelg, SA 5045

Provision of your holiday

Golf Explorer will arrange for the provision to you, the services, which form part of the inclusive holiday as confirmed to you. These services will be provided either directly by ourselves or by independently contracted suppliers. When you ask for your holiday booking to be confirmed we will send you a confirmation invoice upon receipt of a suitable deposit. That confirmation invoice acts as your acceptance of the booking on the terms of these Booking Conditions and your holiday is secured from that moment. All holidays and offers advertised on this website are subject to availability.

Booking Arrangements

Booking of travel arrangements and payment thereof shall be considered proof that you have read our booking terms and conditions and that you accept them without reservation as constituting the entire agreement between yourself and Golf Explorer Pty Ltd trading as Golf Explorer hereafter called Golf Explorer. Golf Explorer does not own nor operate the airlines, hotels, golf courses, sightseeing, shipping, transfer or vehicle hire companies or cruise lines (herein called "suppliers") whose transport, accommodation or meal services you may receive on your holiday. Golf Explorer reserves the right to pass on any costs imposed by airlines for ticketing plus a service fee and GST. All holiday components sold by Golf Explorer are provided by reputable suppliers, which operate in accordance with the standards set down by their own local authorities. Bookings therefore are subject to the terms, conditions and limitations of such suppliers, some of which exclude or limit liability in respect of death, injury, delay, loss or damage to your person and/or effects. Golf Explorer recommends that all passengers take out adequate travel insurance cover valid for the entire duration of the holiday.

Changes in Price and Itineraries

Prices quoted on this website are in Australian dollars (except where noted otherwise), are correct at the time of publication and are subject to change without notice. In the event that currency fluctuations affect the price of your booking, Golf Explorer reserves the right to adjust the prices as necessary at any time. In the event of airline schedule changes or those made by our suppliers or for any reason beyond our control, we will notify you at the earliest possible date. Golf Explorer will inform you of any change and invoice you at the new rates. Revised rates will apply to all bookings including those made before the change. If the change or changes result in your holiday costing more, or otherwise being materially different from that prior to the change or changes being effected and in respect of which we have already accepted your deposit or balance payment, you may rearrange your holiday or withdraw and monies already paid will be refunded less any charges levied by suppliers. The price that is applicable at any time is that which is quoted at that time by Golf Explorer. Government taxes and charges imposed by third parties are subject to change.

Changes to your holiday

It is unlikely that we will have to make any changes to your travel arrangements, but as the arrangements are often planned many months in advance, we may occasionally, have to make changes and we reserve the right to do so at any time. Most of these changes will be minor and we will advise you of them at the earliest possible date. We also reserve the right in any circumstances to cancel your travel arrangements. For example, if the minimum number of clients required for a particular travel arrangement is not reached, we may have to cancel it. However, we will not cancel your travel arrangements less than 6 weeks before your departure date, except for reasons of force majeure or failure by you to pay the final balance.

Important Note: If we are forced to cancel an Event ie Tournament or Escorted Tour etc and you have booked separate elements through another supplier other than Golf Explorer then we are not liable for these 3rd party costs. We will however offer you alternative accommodation, golf courses etc in the area and refund any balance of monies.

Changes to Flights

The policies for name and date changes to flights vary greatly between airlines. In addition to the airline charges Golf Explorer will charge $30 per change for changes to any flight. If you pay in full for a schedule or charter flight at time of booking it is generally a non changeable and non-refundable ticket. This means a new ticket will need to be purchased at the best available fare. Some flights that have not been ticketed can sometimes be changed for an administration charge and subject to availability. Please call for details should you wish to make a change to a flight. Where the price varies depending on the number of persons booked and you wish to change the number of persons booked, the price will be recharged on the basis of the new party size as shown in the price panel.


All payments for bookings for any Golf Explorer product can be paid by cheque, credit card or direct bank transfer. Credit Card payments may attract a service fee of 1.5%.


You pay the relevant deposit per person when you book. This is normally your only commitment until 6 weeks before departure. Some Airlines do insist on full payment at time of booking, accordingly we reserve the right to pass these terms on to you. You will receive an invoice within 7 days of booking detailing the balance owed.

Final Payment

The final balance of your holiday is due at least 10 weeks before departure. If the final balance is not received by this date, we reserve the right to treat your booking as cancelled, in which case you could be liable to pay us cancellation charges of up to 100% of invoice total.

Travel Documents

Your travel documents will be dispatched 21 days before your departure date. If your booking is made within 21 days of your departure date all documents will be dispatched immediately upon receipt of full payment.

Cancellations, alterations, refunds and reissues

If you cancel or terminate your holiday you may forfeit the full payment made if balance has been received (Deposits are non refundable). For this reason, Golf Explorer strongly recommends that your travel insurance policy includes cover for cancellation charges in the event of cancellation due to illness or other circumstances. This may result in a delay in processing any refund due as we await advice of cancellation charges by airlines, hotels and ground/cruise operators. Bookings made with Golf Explorer may incur 100% cancellation fees once bookings are confirmed and paid.

Cancellation of your holiday

For a booking to be cancelled in full or part, Golf Explorer must receive written instruction, which will only be valid if signed by the person who signed the Booking Form. Your written instructions must go to Golf Explorer by email, fax or letter. To compensate us for the expense of processing your booking and for the risk that we may not be able to re-sell the holiday, a cancellation fee will be charged.

  • More than 70 days 20% deposit or deposit + any prepaid flights if higher
  • 57-70 days 30% or 30% + any prepaid flights if higher
  • 36-56 days 50% or 50% + any prepaid flights if higher
  • 15-35 days 70% or 70% + any prepaid flights if higher
  • 0-14 days 100% cancellation fee

Force Majeure

Golf Explorer will not pay compensation if we have to cancel or change your travel arrangements in any way because of war, riot, industrial dispute, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions or other unforeseen circumstances that may amount to force majeure.

Document reissue fees

To make any changes after your booking has been finalised, contact Golf Explorer on 08 8376 4495. A fee of $30 per booking/supplier in addition to any charges levied by hotels, ground/cruise operators or airlines, will be charged for document reissue. After documents have been issued for bookings, Golf Explorer will charge a fee of $30 per booking/supplier in addition to any charges levied by hotels, ground/cruise operators or airlines. A document reissue is an alteration to an existing booking and not a transfer to another package wherein cancellation fees may apply as well as a reissue fee of $30.

Holiday Variations

If unforeseen circumstances beyond our control require us to make necessary changes to your holiday, we reserve the right to cancel or reschedule departures and itineraries. Where it is necessary to change a hotel Golf Explorer reserves the right to substitute accommodation of at least a similar standard.


No refund is available for cancellations after holiday package has commenced or in respect of any tours, accommodation, meals or any other services not utilized. Please note that employees of any supplier are not authorized by Golf Explorer to make any undertakings to a client in respect of refunds or other matters. Please refer to the 'Cancellation of your holiday' for further information on our refunds policy.

Passport Checks

Travel agents and clients are required to ensure names being used to make a booking with Golf Explorer are exactly as those appearing in the passports. Any name/initial or spelling changes will incur a fee per change.

What's Not Included in the Holiday Price

Airfares (unless specified), Airport taxes, passport and visa fees, insurance (unless purchased from Golf Explorer), Excess Baggage charged by airlines (including golf clubs if relevant airfare does not offer an allowance) laundry, phone calls, beverages, meals not detailed in the itinerary, tips to Tour Directors, motor coach drivers and local city guides, items of a personal nature, expenses, fees or costs incurred in case of illness, or of refusal of entry, detention in, or expulsion or repatriation from a country or part of a country.
Golf Explorer is not liable for any expense, costs or loss incurred in relation to such matters.
You agree not to hold Golf Explorer responsible for any such things.

Hotel Check-In and Vehicle Rentals

To guarantee charges for incidental items, suppliers require validation of a current credit card upon check-in or pick up.

Carriage of Golf Clubs

Virtually all airlines now charge for the carriage of golf clubs. Golf Explorer will endeavour to advise you of the charges and baggage restrictions at time of booking.

Green Fees / Start Times / Carts

When making your booking you will be asked for your requested days of play, courses and start time preference. The following will be the procedure:

  • You will receive an invoice confirming your ‘requested times’
  • When all the clubs respond we will send you a final invoice confirming ‘actual times’
  • Once you have a confirmed ‘actual time’ we reserve the right to charge an ‘amendment
  • fee’ if you want to change times again
  • Cancellation of ‘actual times’ may incur cancellation charges up to the value of the prepaid
  • Green fee, subject to the cancellation policy of the course involved.
  • If the Golf Clubs subsequently change your ‘actual time’ for a Club competition etc we will try to ensure a suitable alternative is found.
  • Changes to golfing arrangements will not be considered as ‘Major Changes’
  • Single golfers on courses where buggies are included are liable to pay an additional charge for the single buggy hire locally.
  • Golf Clubs reserve the right to make up matches to 4 balls
  • Where a Golf Club imposes handicap limits and handicap certificate conditions we will
  • Pass on your handicap details but it is your responsibility to comply locally.
  • Over seeding and hollow-tining can effect certain courses at certain times. We will advise
  • You of these so alternative arrangements can be made (providing we are notified).
  • Shared cart are included in a number of packages but not all packages displayed on the website. Please check package specifics for details.

Whilst we endeavour to meet requests for specific courses, days and times, these are subject to availability and we cannot guarantee we can meet them. Accordingly requests are not binding on us.

Course Conditions

We cannot be held responsible for the actual playing conditions of the golf courses whether caused by course maintenance, climatic conditions etc. We do request all maintenance schedules from our featured courses and when we are advised we pass this information onto you. Please remember maintenance schedules are subject to change due to weather conditions. Golf course closure due to adverse weather is at the discretion of the golf course and Golf Explorer can not be held responsible.

Handicap Certificates

Increasingly courses are introducing and policing handicap limits. In some circumstances certificates must be produced prior to play. We strongly recommend you take a certificate with you regardless as clubs can change their rules.

Golf Tee Times & Spa Appointments

If unforeseen circumstances beyond our control require us to make necessary changes to your tee times and spa appointments, we reserve the right to cancel or reschedule accordingly.

Frequent Flyer Points

Airfares may or may not attract Frequent Flyer points. This decision rests with the airline and is not the responsibility of Golf Explorer. Ask your travel agent to check with the airline.


Golf Explorer can organize Travel Insurance on client's behalf. Golf Explorer recommends travel insurance against loss of deposits through cancellation charges, baggage loss, medical expenses and theft. Golf Explorer makes no representations or guarantees concerning reimbursements of funds paid by you under any insurance claim. You agree not to hold Golf Explorer responsible for any decision made by insurers, and/or by any suppliers, or requirements of any overseas country or governmental authority or overseas laws and policies.

Passports, Visa, Vaccinations and Baggage

Golf Explorer will provide assistance and information regarding the necessary documents required to undertake any programme offered. However, a visa does not guarantee you entry to a country or permission to remain in it and therefore it is the responsibility of the traveller to ensure all of the necessary Visas, Passports, Entry Permits, Vaccinations and Baggage Requirements are acquired and conditions stated by any third party are complied with at all times. Some countries may refuse entry because of your health, condition, or other circumstances or for other reasons, or may detain, expel or repatriate you. It is your responsibility to find out about applicable entry and other requirements of overseas countries you are intending to visit. Golf Explorer is not responsible for any disruption caused.

You should check with the embassies or consulates or other authorities of the countries in which you intend to travel for any health, entry or visa requirements that are applicable and you should make the appropriate disclosures as required. A failure to disclose a health condition or criminal record may result in the applicable country refusing you entry, or in you being detained, expelled or repatriated from it.

Golf Explorer and/or its suppliers and agents accept no responsibility if you are refused entry into the country/countries of your destination. Golf Explorer and/or its suppliers and agents are not liable for any expenses, costs liabilities or loss incurred in relation to such matters. You agree to not hold Golf Explorer including its suppliers and agents responsible for any such matters.

Golf Explorer and/or its suppliers and agents are not responsible for any disclosures of a health condition made by other suppliers who provide services on the holiday or for the acts of any governmental instrumentalities of the countries connected to your holiday.

You are responsible for all visas, entry, health and other requirements and any documents required by laws, regulations, orders and/or requirements of countries visited.

Golf Explorer and/or its suppliers and agents are not responsible for passport and visa requirements or for any loss you sustain for failing to comply with laws, regulations, orders and/or requirements of countries visited.

To ensure the safety of all passengers, including you, it may be necessary for Golf Explorer and/or its suppliers and agents to disclose your condition of health to suppliers of other services connected with your holiday. You authorise Golf Explorer and/or its suppliers and agents to make such disclosure on your behalf and agree that a disclosure by Golf Explorer and/or its suppliers and agents shall not amount to a breach of confidence or duty and you will not hold Golf Explorer and/or its suppliers and agents liable in tort (actionable wrong) or in contract or under any anti-discrimination laws.

Australian Department of Foreign Affairs and Trade Advice

The Australian Department of Foreign Affairs and Trade produces up-to-date travel information to help Australian travellers make informed decisions about travelling abroad. For further information please visit www.smartraveller.gov.au.


If you have a complaint about your holiday, please inform Golf Explorer in Australia or contact the relevant local supplier. Most matters can be resolved whilst you are in resort. If this is not possible please keep a record of events. In the unlikely event matters cannot be resolved to your satisfaction in resort, please follow up by writing to our Customer Services Department at; Golf Explorer, PO Box 775, Glenelg, SA 5045 within 28 days of returning from your holiday. We will not accept liability in respect of claims that we receive after that date. No airline by virtue of being depicted on this website represents itself either as contracting with any purchaser of a holiday from or as having any other legal relationship with such purchaser.

Financial Protection

Golf Explorer operates under travel agent license number TTA208954, granted by the South Australia Government Office of Consumer & Business Affairs. Golf Explorer is also a participant in The Travel Compensation Fund (TCF No: 9499). TCF is a fund administered by a regulatory body established by government to protect consumer funds in the event of a member’s financial failure. Golf Explorer clients can have complete confidence that the company meets the strict financial criteria necessary for participation in the TCF.


We reserve the right to decline to accept or retain any person as a client if their conduct is disruptive and affecting the enjoyment of other holidaymakers. We shall be under no liability for any extra costs incurred by such a person as a result of our doing so. Aircraft/Ship captains are legally entitled to deny boarding to any passengers presenting themselves at the aircraft who, at the captain’s absolute discretion, are unacceptably under influence of drink or drugs. Any passenger, who is denied boarding on the travel sector flight for that reason, shall be deemed to have given notice of cancellation of their booking at the moment and cancellation charges will apply.

Other Conditions

It is your responsibility to comply with the terms, conditions and requirements of any service provider, or any country or governmental authorities, or to bear any costs or losses incurred as a consequence of you not complying with them.

Standard of Service

The standard of service in your holiday is based on various factors and neither Golf Explorer nor its suppliers or agents represent or guarantee the standard or fitness for purpose of the accommodation or services provided.

Limitations of Liability

  • Golf Explorer arranges your holiday, which will be provided by other suppliers.
  • Golf Explorer has office an Australia with local representatives internationally.
  • Golf Explorer sells holidays in Australia that are arranged by Golf Explorer or by entities related to or affiliated with it.
  • Golf Explorer provides you and other passengers with bookings, arrangements, ticketing and other ancillary and related services.
  • Golf Explorer does not itself provide the transport, accommodation, meals or other facilities described on this website that you may receive on your holiday, all of which are provided by air and land carriers, cruise operators, hoteliers or suppliers of other services as principals. Golf Explorer agrees to make the reservations with the principals offering the services described on this website on these terms and conditions.

All coupons, exchange orders, contracts, tickets or vouchers issued by Golf Explorer (collectively "vouchers") are issued subject to all tariffs terms and conditions contained in the contracts in use by the principals when used and constitute the sole contract between the principal and the passenger. Acceptance of such vouchers constitutes acceptance of the foregoing.

All images on the website are designed as a guide to the product and services you will receive and may not be exactly replicated on your holiday. For example, the hotel room photographs may not be specific to actual room occupied.

Privacy Policy

Golf Explorer undertakes to ensure all reasonable endeavours are made to keep your personal details secure and will not supply them to any third party unless it is directly related to the activities of the Academy and the supply of our services.
